Our client is an established Private Equity firm based in the UAE and London, with over 15 years’ operational experience in managing both tangible assets and supporting new-to-market concepts for clients, globally. As innovative thinkers, and fast-growing from an entrepreneurial background, the firm operates across an impressive digital landscape, within the most lucrative markets in the world.

In recent years, the firm has won several industry awards, including Offshore – Multi-Asset Private Equity Firm of the Year and Achieving Women’s Award in the Private Equity Sector. Due to success within the MENA region, and increasing client engagement, the firm are now looking to hire for several positions across the business, to drive growth and continue their successes.

Key Responsibilities of Administrative Secretary:

  • Answer incoming calls to handle customer bookings for various business services.
  • Develop and manage ongoing customer experience processes.
  • Schedule client meetings for senior management as needed.
  • Maintain and regularly update the client event calendar.
  • Update and add new clients to the online portal and share login details directly with clients.
  • Manage client interactions during payout delays, ensuring timely and satisfactory resolutions according to company policy.
  • Maintain and enhance relationships with existing clients as needed.
  • Address client service inquiries, except those designated for senior management.
  • Resolve customer complaints and escalate to senior management when necessary.
  • Regularly provide clients with relevant updates.
  • Accurately record and update customer interaction data in the database.
  • Adhere to communication procedures, guidelines, and policies.
  • Assist with planning and executing monthly company events alongside senior management.
  • Coordinate client gifts for special occasions such as birthdays, Eid, and Christmas.
  • Coordinate with IT, maintenance, and fit-out companies to maintain optimal office operations.
  • Provide coverage for the operations admin department as needed for business continuity.

Key Skills of Administrative Secretary:

  • Two years’ experience within a customer service and/or admin role.
  • Complaint handling experience.
  • Must be well spoken in person and over the telephone.
  • Adopt the company culture.
  • Excellent organisation and time management skills.
  • Proficient in MS Office.
  • Ability to learn company-specific software if required.
  • Excellent written and verbal communication skills.
  • Self-motivated and ability to prioritise well.
  • Flexibility and adaptability.
  • The ability to be proactive and take the initiative.
  • A desire to grow and develop your career at the firm.
